Bringing two CRMs and support into Salesforce

A compliance software company needed to bring an acquired European business onto Salesforce. ProSights built the migration and validation workflow across HubSpot, a legacy CRM and Jira support data, and loaded more than 42,000 account, contact and lead records into the Salesforce sandbox.

18,612 accounts

Loaded into the Salesforce sandbox

4,064 contacts

Loaded for migration validation

19,835 leads

Loaded in the first validation wave

ProSights profiled the source systems, mapped customer and support records, and built the reconciliation and validation workflow for the Salesforce migration.

The Challenge

Accounts, contacts and opportunities existed in both CRMs with duplicates across them. Deal values, stages and account relationships had to reconcile to source before the team could trust the pipeline in Salesforce. Product support had to move from Jira to Service Cloud without losing open cases, while HubSpot history had to remain accessible after retirement.

Sources: HubSpot — Sales, Legacy CRM — Acquired accounts, Jira — Product support.

The Approach

We ran a two-week diagnostic first, with read-only connections and automated profiling. User interviews with sales, success and support identified the fields, stages and views each team relied on. We proposed mappings and load order, reviewed exceptions with the customer, and checked required fields, record relationships and deal values against source.

The Build

Read-only connectors into both CRMs and Jira. A profiling and mapping layer with reviewed, recorded mappings. Duplicate resolution across the account lists. Sandbox loads for validating records and relationships, with source identifiers and migration tags preserved for traceability.

Sources: HubSpot, Legacy CRM, Jira. Process: Read-only profiling, Mapping review, Sandbox validation. Destinations: Salesforce — Target sales and success, Service Cloud — Target support, History retention.

The Outcome

The Salesforce sandbox load brought in 18,612 accounts, 4,064 contacts and 19,835 leads, including 3,053 parent-company links. A further 3,769 opportunities were prepared for loading. The delivered validation dataset gave business teams a shared view of customer records, mappings and exceptions, with each record traceable to its source.
